A structural analysis provides information about the supplied data in respect of the degree to which fields are filled in and logical correctness (e.g. whether the postal code field is filled with numbers only or the name fields are filled mainly with letters, etc.). In the event of departures from the norm, the client is informed immediately so that unforeseen problems can be dealt with early on.

The supplied data are imported into a uniform database structure to ensure that they are machine-processable. Minor errors are corrected during the importation process. Such errors may consist in a lack of clarity or occur in the form-of-address code or field length. During the conversion process, all data pools are subjected to both manual and automatic testing.

If the selection information for the respective address pools is provided at an early stage, then the information is examined and, to the extent possible, cleansed (gender distribution, regional distribution, age data, post boxes, etc.) In the event of departures from the norm or from the selection information, the client is informed immediately so that unforeseen problems can be dealt with early on.

A reference file is used to verify the postal correctness of address pools and their compliance with Deutsche Post guidelines. The verification process looks for a valid street name in conjunction with the postal code and town or city; it also corrects street names and municipality boundaries, where these have been changed.

After cleansing, the 1st-party data can be sent to the client for purposes of internal use. This cleansing process not only avoids any disruptive effects on the recipient caused by incorrect addresses, it provides final certainty that the addresses are all okay and the subsequent comparisons are working optimally. It naturally also increases the deliverability of the addresses.

A special software program is used to check address pools for duplicates. All information within an address pool is reduced to its phonetic basis in order to identify, validly and with great accuracy, the duplicates it contains by means of the latest fuzzy logics.

Each address pool is checked for internal and external duplicates. These checks take place separately in order to ensure the highest possible quality of duplicates. A separate breakdown of the multis and singles can be provided at any time. Because the checking procedure is highly complex, selection of the ideal settings is key. In our checks, the results of various testing parameters are examined in order to ascertain which parameters are most suitable for future checks. Ideally, we conduct these examinations in direct dialogue with you. You may of course access and peruse all the duplicates.

Negative matching is a process whereby an address pool is compared for matches with other, negative sources. Such sources may consist of advertising avoiders, those to whom delivery cannot be made, deceased persons and the non-creditworthy. Where comparisons against negative data are performed the defined matching settings are used in order to achieve an optimum result. The negative sources are selected in direct coordination with the client. For each source – particularly information on credit worthiness – there are numerous ways of performing the cleansing procedure.

By this process an address pool is checked for addresses which may have relocated, and, if a match is found, the old address is updated to the new one.

  • Is considered Germany’s most important source for reliable and up-to-date information on relocations. The relocated addresses are obtained primarily from forwarding requests placed with Deutsche Post and from supplementary sources such as move announcements (announcements placed voluntarily with www.umziehen.de). The data are often available a few days before the move and are at most 24 months old.
  • POSTADRESS CLEAN
  • Data on deceased persons and nondeliverable addresses
  • The reference data from Deutsche Post Adress covers the addresses of more than 90 % of all deceased persons in Germany. Where both sets of data are available the comparisons take into account date of birth and death in order to rule out cases of mistaken identity. The database also contains move addresses where no new address is available but where it is certain that post cannot be delivered to the address in question.

  • The move database of ABIS, a Deutsche Post Adress subsidiary, contains address change data from public registers and covers more than 20 million moves that have taken place from 2000 to today. It is therefore an excellent source for performing comparisons with the addresses of inactive customers, for example to reactivate old contacts.

Through its management of over 100 charity donation organisations, SAZ can conduct reviews of this data to obtain information on changes of address. a+s DialogGroup provides a positive confirmation process whereby addresses are checked for validity and deliverability by means of up-to-date reference databases. Positive confirmation is beneficial, for example, to keep printing and postage and return postage costs to a minimum where the addresses used for a mailing campaign include older addresses. Using the positive confirmation procedure, only the addresses contained in the reference database used for the comparison are selected from the available address pool. For this, a+s’ own data substance is used as well as the reference data of three further well-known providers from the areas of fundraising, address and debtor searches, telecommunications and distance commerce.

The corresponding data is kept continually up-to-date through searches of activity (orders, deliveries, etc.), an approach that has proven highly effective.

As a long-standing partner of Postcon, a+s checked the deliverability of deliveries categorised as non-deliverable by other delivery companies, in doing so reducing the returns at Postcon and, by means of positive confirmation, optimising the repeat delivery process.
